Accessing Documents via ClientFlow
Beginning January 1, 2019, Norton Collar Lund Lilley PLLC has upgraded our document upload and notification system within our client portal for client document submissions. The new system fully integrates your secure client portal directly with our document management system alerting us immediately to any new forms and documents that you submit. We will continue deliveries of tax returns, financial statements and other documents to clients and approved third parties through ClientFlow.
You will still access your client portal through the familiar log-in at our website. On the Home screen of your portal you will see a series of drawers on the left sidebar. The drawers may include the following:
— ClientFlow Contains Current Year Returns and other Uploads within family folders
- Your Last Name, First Name
- Your Business #1
- Child Last Name, First Name
— Your Last Name, First Name (Contains Returns for years 2017 and earlier delivered via portal)
— Your Last Name, First Name (Contains Current Year Tax Organizer and Engagement Letter)
— Your Business #1 (Contains Returns for years 2017 and earlier delivered via portal)
— Child Last Name, First Name (Contains Returns for years 2017 and earlier delivered via portal)
If you have 2 drawers in your portal with your name, the first drawer beneath ClientFlow includes only prior year documents. You may not have this drawer if you have not used the Portal for prior year deliveries. If you use our Weborganizer tool which allows you to complete and submit the organizer online, you will have a 3rd drawer.
Your portal may have more drawers if you have business and family members linked to your portal. However, all current year family folders will be found in the one ClientFlow drawer.
Currently only new documents will be accessible via ClientFlow. Any document posted to your portal prior to January 1, 2019 will still be accessible in the drawers below ClientFlow. If you don’t see the ClientFlow link in your portal, please call our office so can help you get the new portal set up. Below are some steps to help you better navigate the new ClientFlow system.
Viewing ClientFlow files
You can view a file only if its native application is installed on your computer. For example, Adobe Reader must be installed to view PDF files, Microsoft Word must be installed to view DOC or DOCX files, and so on.
- Click the ClientFlow link in the navigation pane.
- In the ClientFlow screen, click the folder in which the file you wish to view resides.
- Click the name of the file you want to view.
Tip: If the files we uploaded for you are not listed, you may need to delete your temporary internet files or cached files.
- A new internet browser window opens. You might see one of the following messages in the information bar (below the address bar at the top of the window).
- “Pop-up blocked. To see this pop-up or additional options click here. “ If you see this message, click the information bar and choose either Temporarily Allow Pop-ups or Always Allow Pop-ups from This Site.
- “To help protect your security, Internet Explorer blocked this site from downloading files to your computer. Click here for options . . .” If you see this message, click the information bar and choose Download File. The duration of a file download depends on the size of the file and the speed of your internet connection. To minimize the duration, download files early in the morning or late in the evening to avoid high volumes of internet traffic that may affect your internet service provider. Also, if you are using a modem, consider upgrading to a DSL, cable modem, or T1 connection.
Locating a folder or file in ClientFlow
You can search for a specific folder or file.
- Click the ClientFlow link in the navigation pane.
- This step varies depending on which ClientFlow screen you are in.
- The ClientFlow Home screen lists top-level folders. Enter any part of the client name or client number in the Find field to find the folders that match your search criterion.
- After you open a ClientFlow folder in the ClientFlow Home screen, you can search for files. In the Find field, enter search criterion that matches any of the columns in the screen. For example, you might enter any part of the file description to find the files that match your search criterion.
Tip: Delete the entry from the Find field to view the full list of folders or files.
Uploading files to ClientFlow
You can upload files of up to 400 megabytes (MB) to ClientFlow. The duration of a file upload depends on the size of the file and the speed of your internet connection. To minimize the duration, upload files early in the morning or late in the evening to avoid high volumes of internet traffic that may affect your internet service provider. Also, if you are using a modem, consider upgrading to a DSL, cable modem, or T1 connection.
- Click the ClientFlow link in the navigation pane.
- Click the Upload icon.
- Drag your files into the box or click the Select Files button.
- In the Select file(s) to upload dialog, navigate to the files you wish to upload, select the files, and click Open. You can upload multiple files at once by clicking a file and then pressing and holding down the CTRL key while clicking additional files. To select multiple files that are listed consecutively, click the first file, press and hold the SHIFT key, and then click the last file.
- Click the Upload button to immediately alert our staff that you have uploaded new documents for our review. Your documents will be filed with all other documents you have submitted in your client folder on the Norton Collar Lund Lilley PLLC secure server.
